BEHIND THE PROJECT
The story & the work.
In 2020, COVID-19 effectively shut down TotalWellness's flu-shot event model. Gathering people for routine events was no longer practical, and the business needed a way to adapt. I worked alongside the CEO to develop a temporary model around COVID testing and, later, vaccination, then built the software and workflows to support it.
Removing the testing bottleneck
The first testing workflow had a clear capacity problem: people completed consent forms on arrival and stayed in the parking lot while waiting for their results. Paperwork and waiting time limited how many people the team could serve.
I moved consent online so people could complete it before arriving. Each submission produced a printable form with a barcode containing a unique registration ID. Patients could arrive with their form, get tested, and leave without staying on site to receive their result.
Data-entry staff then scanned the barcode to retrieve the registration and process the result for email delivery. This connected the paper form to the digital record and separated the testing visit from results processing. The team could keep testing while administrative staff handled the follow-up work.
By my estimate, the redesigned testing workflow increased throughput by roughly 100 times compared with the original process. The improvement came from changing how the work moved through the site, with software supporting each handoff.
Coordinating vaccination delivery
When vaccines became available, I worked with TotalWellness and the Douglas County Health Department to design the vaccination workflow. Online registration offered available appointment slots, giving organizers a way to manage arrival times and appointment capacity.
At the appointment, nurses authenticated on tablets and recorded the injection location, vaccine manufacturer, and dose as they administered the vaccination. Capturing those details immediately made the record available sooner and avoided a separate transcription step after the event.
I also worked with Nebraska's state health department to integrate directly with its health record system. Vaccination data could be sent as it was recorded, connecting the local event to the state's records and giving medical providers a shared source for vaccination history.
I built authenticated staff workflows and worked within the organization's HIPAA requirements for handling patient information. Access and patient privacy were part of the implementation alongside the operational needs.
The business value
My work helped support testing and vaccination programs that generated millions of dollars in gross revenue for TotalWellness. Those services gave the business a practical way to continue operating while its usual event model was disrupted.
I translated operational bottlenecks into connected workflows: advance registration, fast record retrieval, immediate vaccination documentation, and state reporting. That helped the business adapt while giving patients a more straightforward experience and staff a more efficient way to deliver the service.
